Registration
Is there a registration fee for this conference?
Yes, there is a registration fee for the 2026 NSF EEC Grantees Conference. For details on registration fees and timeline, refer to Registration.

What does the registration fee cover?
The 2026 NSF EEC Grantees Conference registration fee provides full participation in the conference, including evening refreshments on September 30 and October 1, breakfast, lunch, and morning and afternoon refreshment breaks on October 1, and breakfast and a morning refreshment break on October 2.

What is your cancellation policy?
If you need to cancel your registration, please send a request to eecconference@asee.org. All cancellations made by August 30, 2026 will incur a $25 processing fee. Cancellation requests made after August 30 will be considered on a case-by-case basis.

Attendance
How many people can I bring to this conference?
At this time, registration is limited to one person per EEC award. We will inform all awardees if registration is expanded.
There is one exception to this rule: if you submit a session proposal with multiple facilitators and your proposal is selected, all facilitators may attend the full conference.

My grant has ended/will end before the conference takes place. Can I still attend?
Yes, you are still eligible to attend the conference.

I am unable to attend. Can I send someone else to attend on my behalf?
Yes, as PI, you have the ability to designate someone involved in your award to attend on your behalf. This can be a co-PI, team leader, or another representative of your choosing.
When should I plan to be at the conference?
The conference begins the the evening of Wednesday, September 28. Attendees should plan to arrive onsite that day.

How do I book my room?
The 2026 EEC Grantees Conference will be held at the Westin Alexandria Old Town in Alexandria VA.

To participate fully in this meeting, please plan on checking in on Wednesday, September 30 and checking out Friday, October 2, 2026.

Can I nominate a site participant associated with a grant that has ended?
Yes, you may nominate an REU/RET site participant associated with a grant that has already ended or will be ending before September 2026.
If my site participant is selected, what conference-related expenses will be covered for them? Selected site participants will have the following conference-related expenses covered by NSF, via ASEE:

Travel fees (airfare will be covered in advance)

Hotel accommodations (covered in advance)

Conference registration fee (waived)

Additional allowable travel-related expenses (reimbursed post-conference)
If my site participant is selected, what expenses will I incur to send them to the conference?
Please see the prior question for all covered expenses. REU/RET PIs should plan to cover poster printing fees for their attending site participant.
